Privacy Policy

This policy explains what data Living Manual collects and what it does not. The short version: when you run the plugin on your own site, your manual's content and your visitors' questions go straight to Anthropic on your key and never touch our servers. The demo and support sites we operate work differently, and this policy covers those too.

What this policy covers

This policy covers:

• The marketing website at livingmanual.ai.
• The purchase and licensing of the Living Manual plugin, and the license and update service the plugin talks to.
• The Help & Feedback panel inside the plugin, when you choose to use it.
• The demo site at demo.livingmanual.ai and the support site at support.livingmanual.ai, which we operate.

It does not cover the data your own WordPress site processes when you run the plugin. On your site, you are the data controller for your documents and your visitors' questions, and the section below describes how that data flows.

What we never receive from your site

This section is about the plugin running on your own WordPress site. The AI features run on your own Anthropic API key. When your manual is ingested and when a visitor asks the docent a question, that content travels directly from your WordPress site to Anthropic using your key. It does not pass through us. (The demo and support sites we operate are different, because there the docent runs on our key; see "The demo and support sites" below.)

• We do not receive, see, or store your uploaded documents or manual content.
• We do not receive, see, or store your visitors' questions or the answers the docent returns.
• We do not receive your Anthropic API key. It is stored only in your own WordPress database.

Anthropic's handling of that content is governed by your agreement with Anthropic and their privacy policy.

What we do collect

Website analytics

The marketing website uses Umami, a privacy-friendly analytics tool. Umami is cookieless, does not track you across other sites, and reports only aggregate, anonymized usage such as page views and referring sources. It does not build a profile of you.

Purchases

Purchases are handled by Lemon Squeezy, which acts as our Merchant of Record and is the seller and payment processor for every transaction. When you buy a license, Lemon Squeezy collects your payment and billing details directly. We do not see or store your full card number. We receive limited order information from Lemon Squeezy, such as your name, email address, license key, order details, and country for tax purposes. Lemon Squeezy's own privacy policy governs the data it collects at checkout.

License validation

To keep the premium features active, the plugin periodically validates your license with our licensing provider, Lemon Squeezy. These requests include your license key and the website address (domain) where the plugin is activated. We use this only to confirm that a license is valid and to count activations against your plan's site limit.

Plugin updates

The premium add-on checks our own update service for new versions and downloads them. That request includes your license key, your site URL, and the installed version, so we can serve the correct build. The update service is hosted by us on Amazon Web Services.

Feedback and support requests

You can send feedback or a support request from the Help & Feedback panel inside the plugin, or from our support site at support.livingmanual.ai. When you do, we receive your message, your email address if you provide one, and, for requests sent from the plugin, basic diagnostic details about your site: your WordPress and PHP versions, the Living Manual plugin versions, your active theme, and your site URL. The plugin sends nothing unless you choose to submit. We use this to answer you and to improve the product. Our web forms are protected from spam by Google reCAPTCHA, and submissions may be processed by automated systems, including AI, to triage them and draft a response, which we review. Ticket replies are sent to you by email.

The demo and support sites

To use the live demo at demo.livingmanual.ai, you create a demo account with your email address, which we verify by sending you a confirmation link. The docent on the demo and support sites runs on our own Anthropic API key, so questions you ask there are sent by us to Anthropic. These sites are protected from spam and abuse by Google reCAPTCHA and by usage limits. Demo accounts and their activity are kept for a limited period and then removed; unverified sign-ups are deleted shortly after.

How we use data

• To provide and maintain the plugin, including validating licenses and delivering updates.
• To process your order and provide receipts, through Lemon Squeezy.
• To understand, in aggregate, how the website is used so we can improve it.
• To respond to your support requests.
• To send you service messages about your license, such as a renewal or expiration notice.

Legal bases for processing

If you are in the European Economic Area or the United Kingdom, we process your personal data on these bases: to perform our contract with you (providing the plugin, validating your license, and delivering updates and support); our legitimate interests (understanding site usage in aggregate, protecting our forms and shared AI from spam and abuse, and running the business); and your consent where the law requires it. Where we rely on legitimate interests, we balance them against your rights.

Who we share data with

We do not sell your personal data. We share data only with the service providers that make Living Manual work:

• Lemon Squeezy, our Merchant of Record, for payments and license validation.
• Amazon Web Services, which hosts our update service and the demo and support sites and sends our email (through Amazon SES).
• Anthropic, which processes questions asked of the docent on the demo and support sites, and which our support tooling uses to help triage and draft responses.
• Google, whose reCAPTCHA protects our web forms from spam and abuse and is subject to Google's own privacy policy.

We may disclose information if required by law.

Data retention

We keep order and license records for as long as your license is active and afterward as needed for accounting, tax, and legal obligations. Feedback, support requests, and support emails are retained as long as useful to help you and maintain our records. Demo accounts and their activity are kept for a limited period and then removed, and unverified sign-ups are deleted shortly after. Aggregate analytics contain no personal data.

International data transfers

We are based in the United States, and our service providers (Lemon Squeezy, Amazon Web Services, Anthropic, and Google) process data in the United States and other countries. If you are outside the United States, your data will be transferred to and processed there. Where required, these providers rely on recognized safeguards, such as the European Commission's Standard Contractual Clauses, for those transfers.

How we protect your data

We use reasonable technical and organizational measures to protect the limited personal data we hold, including encryption in transit (HTTPS) and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have the right to access, correct, or delete the personal data we hold about you, to object to or restrict certain processing, or to receive a copy of your data. To make a request, email william@williamalexander.co and we will respond within a reasonable time. For data collected by Lemon Squeezy at checkout, you can also contact Lemon Squeezy directly. We do not sell your personal data or share it for cross-context behavioral advertising. If you are in the EEA or the UK and believe we have not handled your data properly, you may lodge a complaint with your local data protection authority.

Cookies

The marketing website does not use tracking cookies, and Umami analytics is cookieless. The demo and support sites are web applications with accounts, so they set the cookies necessary to keep you signed in and to secure the forms. Google reCAPTCHA and Lemon Squeezy may set their own cookies where they operate. We do not use advertising or cross-site tracking cookies anywhere.

Children

Living Manual is a business tool and is not directed to children. We do not knowingly collect personal data from anyone under 16.

Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of this page. Significant changes will be noted on this page.
